Student self-administration

The student dorm self-administration (abbreviated as HSV, german: Heimselbstverwaltung) is an integral part of Schollheim. Through it, the residents participate in organizing, shaping, and managing their life at the dormitory. The HSV is divided into departments or offices where elected representatives undertake specific tasks (as listed below).

It’s possible to engage in the HSV by taking on a department, an office, or through individual initiatives. Residents showcase their spirit while enhancing their standing within the community. Participation allows individuals to accumulate (HSV) points, which are necessary for moving into larger rooms or applying for an extension of residence. Ultimately, personal involvement leads to an improvement in social skills, a quality from which the Scholl residents will benefit in every aspect of their lives.

The HSV is most visible during the bi-annual assemblies, namely the “Vollversammlung” (VV) and the “Flurvertretendenversammlung” (FVV). During the VV, the activities in the dormitory from the previous semester are reviewed, proposals are debated, and the department heads or office holders are discharged. Each resident present at the meeting has voting rights. During the FVV, new department heads for the upcoming semester are elected. Each resident can apply for a department position, but only floor representatives hold voting rights.

Offices (Ämter)

The floors elect one floor representative for every 8 residents each semester. Their role involves representing their floor, ensuring tasks are fulfilled, and attempting to create a harmonious floor environment.

Every floor elects a floor-internal laundry token seller each semester, who purchases the laundry tokens from the laundry machine office and sells them (non-profit) to the floor residents.

Departments (Referate)

The Admission Representatives select among the applicants, as members of the Admission Committee, who gets placed on the waiting list. To do so, they review and assess all incoming applications every month, discussing them in the monthly meetings of the Admission Committee alongside other members.

The substitutes can step in to review applications if a regular member of the Admission Committee is unavailable.

The vending machine representatives ensure all residents have access to (alcoholic) beverages through our vending machine. They handle the drink orders, restocking, financial management, and maintain the accounting records.

The bar representatives manage our bar. They handle drink orders, financial transactions, and oversee the bar’s operation. A fourth representative focuses on the technical aspects of the bar (sound system, lighting, etc.).

Points: 75 Points for General and Financier, 37,5 Points for Technician

The Computer Representative assists residents with any technology-related queries, particularly regarding their computers. They attempt to repair them if feasible and provide advice on new purchases.

The Finance Representatives manage the finances of the residential self-government, handling deposits, withdrawals, transfers, account management, and GEZ payments. They are nominated by the administration and hold this position for the long term.

The dorm speakers handle communication between the association and administration on one side and Schollis and HSV on the other. They lead the HSV, hence they are the contact persons for all departments and present at all meetings.

The HSV-Representation represents the residents of the dormitory in the board of the Studentenwohnheim Geschwister Scholl e.V. They ensure that the concerns and interests of the residents are adequately considered in the decision-making process and keep the board members informed about life in the dormitory. Due to the thematic overlap, there is a close collaboration with the dorm speakers.

The Info Representatives manage the resident lists (together with the Room Representatives), create a monthly newsletter, post information about the HSV, and take minutes during VV (Vollversammlung) and FVV (Flurvertretendenversammlung) meetings.

The Internal Representatives distribute keys to the storage spaces, assign bicycle parking spaces, handle the cleaning of storage areas and bike storage, followed by a bicycle auction. Additionally, they manage the maintenance of the hall and barbecue area.

The Culture Representatives organize cultural and political events or trips for the residents, assisting in the coordination of events like Schollheim Day or the Christmas party. Additionally, they oversee the maintenance of the music room.

The Creative Office oversees the maintenance of the creative room, decorations for Schollheim events, and the provision of at least two creative workshops per semester.

The Multimedia Office manages the keys to the media room and organizes film, series, or video game evenings. Additionally, the Multimedia Office, in collaboration with the Culture Office, oversees the projector in the hall and serves as a point of contact when it or the sound system is needed for events.

The Sustainability Office disseminates information about sustainability issues within the dormitory, regularly plans events aiming to encourage residents toward more sustainable lifestyles, and considers ways to make the dormitory more sustainable. One of the three representatives is responsible for the planting and maintenance of the raised beds in the courtyard.

The Network Representatives take care of our internet connection, the dormitory server, the dormitory Wi-Fi, and assist with internet issues. They are selected by the Network Committee and hold the position for a longer term.

The PR Representatives handle the public relations of the dormitory. Their responsibilities include managing the website and Instagram account, designing posters for events, and organizing Schollheim merchandise.

Die Revisors review the finances of the money-handling departments at the end of the semester and publish these in the audit report. They primarily collaborate with the Automaten, Bar, Finanz, and Waschmarken departments, as well as with the tutors.

The Representatives conduct surveys to assess the passing of the probationary period. Additionally, they act as contact persons when issues arise between the residents.

The “Games” Referents are responsible for the administration of keys to the billiard and table tennis rooms, as well as ensuring the upkeep of these areas. Furthermore, they arrange a billiard tournament and a table tennis tournament once every semester

The Sports Referents keep the Schollis in shape. They oversee the sports room, also known as the Schollheim Gym, and organize the in-house volleyball, soccer, and fitness training.

The Tafel Referents organize the weekly deliveries from the “Münchner Tafel”, the Munich Food Bank organisation. They coordinate the participation of residents in assisting, lend a hand themselves, and open the storage space for the dormitory residents.

The Tutors organize events for the dormitory residents, such as the Schollheim Day, the Schollheim trips (cabin trips, festival trips, and city trips), the summer festival, newcomer events, and many more. This position is filled by 4 tutors, of which 2 are elected for a 1-year term each semester.

The Washing Machine Representatives enable Schollheim residents to clean and dry their laundry within the dormitory. The Runner collects used laundry tokens from the washing machines and hands them over to the two token sellers. Each floor has an internal token seller (one person holds this position on each floor) who acquires tokens from the token sellers and then sells them to their floor residents. The Technician ensures the proper functioning and cleanliness of the washing machines.

The Workshop Representatives manage the key to the workshop and ensure its proper equipment. Additionally, they are available to assist with any questions related to craftsmanship.

The Newspaper Representatives compile the “SchollZeit” at the end of the semester, which provides information about the event of the past semester.

The Room Representatives handle room allocations for new arrivals and subtenants, communicate with them, allocate medium/large rooms and apartments to Schollis, and assess applications as members of the Admission Committee.
